I hope everyone is enjoying the start of the weekend and what seems to be a very fast-moving July!
I wanted to take a moment to address a few recent posts regarding damaged mailboxes and provide some insight into what these repairs actually cost the Association.
When a mailbox is damaged beyond repair, the replacement mailbox kit costs the Association approximately $300. In addition, our maintenance technician charges $75 to install the new mailbox. That brings the total cost to approximately $375 per mailbox.
On average, we replace two to three mailboxes each month, and when replacements are needed, Coastal Property Management must order the mailbox kits in sets of ten, as they are shipped from the manufacturer in Miami.
So why bring this up?
Because this is one of the few expenses that we, as a community, can actually help reduce. It also helps everyone understand where your HOA dues are being spent. Every damaged mailbox is money that could otherwise be used to maintain and improve our community, so preventing these avoidable costs benefits all of us.
The Board of Directors has been working on a comprehensive Vendor Rules and Regulations policy that will be shared with the community in the near future before it is distributed to our vendors. These new guidelines will include specific expectations for vendors operating within Evergreen, including parking, driving, and protecting community property while performing work.
In the meantime, we ask for your help.
If you witness a mailbox being damaged, please report it to Coastal Property Management or the Board of Directors as soon as possible. If the responsible vendor or individual can be identified, the Association will pursue reimbursement for the repair costs rather than passing those expenses on to the community.
Will this completely eliminate damaged mailboxes? Probably not.
However, it is a step in the right direction. By working together, we can help reduce unnecessary expenses, improve safety on our roadways, and hold those responsible accountable for damage to Association property.
